Getting started
What is Tailgate Books?
The estimate, the invoice, the receipts, the mileage and the taxes for a one-person business. In one app. In English or Spanish.
You do the work. It keeps the books while you go, a few minutes a day, from your phone.
Who is it for?
The person who works alone. Painters, cleaners, landscapers, groomers, handymen, locksmiths, photographers, dog walkers. More than fifty trades, and if yours is not on the list, you type it in and the app talks your language from the first screen.
Everything in it is built for one person running the whole show, and around one habit: a few minutes a day that buy back your nights, settle your mind about where the business stands, and make every paper you hand a customer look like a pro sent it.
Got a CPA? Even better. Tailgate Books is how you walk into that appointment ready: every receipt, every mile and every payment for the year, already sorted.
Which states can use it?
Colorado and Texas, today.
That is on purpose. Every state has its own rules for things like in-home sales, and the app follows them for you. A state gets added only after its rules are built in. If you work somewhere else, the app will tell you so during setup instead of taking your money.
Do I use it on my phone or my computer?
Both. Same books. Open app.gettailgatebooks.com on your phone in the truck and on your computer at the desk. Enter something once and it is on both.
Does it work with no signal?
Yes, in the phone app. Log the hours, the receipt, the payment, the trip. It waits on your phone and catches up the moment you have bars again.
Reading a receipt, sending an estimate or invoice to a customer and card payments need a live connection, so those go through when you have a bar. In a web browser, Tailgate Books needs signal to open.
Is it really in Spanish?
Every screen. Every estimate and invoice your customer gets. Built in both languages from day one, not an English app with a setting buried in a menu.
And they do not have to match. You can run the app in English and send your customer an estimate in Spanish, or the other way around.
Price and your subscription
What does it cost?
$24.95 a month, plus sales tax where it applies. One plan. Every feature. No tiers, no per-user pricing, no "that's on the higher plan."
How does the free trial work?
14 days free. A card is required to start, and nothing is charged until the trial ends. You get an email about 7 days before it does. Cancel before then and you pay nothing. One free trial per account.
How do I cancel?
Settings, then Subscription, then Cancel subscription. Two taps. No phone call, no reason required.
You keep full access until the end of the time you paid for, and you can turn it back on any time before then.
Will the price go up?
The promise: no surprise hikes. If the price ever changes, you get at least 45 days' notice by email and in the app, and you can cancel before the new price applies.
Do you give refunds?
Partial months are not refunded, except as the Terms of Use say or the law requires. If you think you were charged by mistake, write to support@gettailgatebooks.com within 60 days.
Can I subscribe through the App Store or Google Play?
No. Subscriptions are sold only on the web, at app.gettailgatebooks.com. One account, everywhere you sign in.
What happens if my card fails?
You keep full use for 7 days while the card is retried, and Stripe emails you a link to update it. After that the account turns read-only until the payment goes through. Nothing is deleted. No late fees.
Getting paid
Can my customers pay me by card?
Yes. Every invoice you send carries a Pay button. Your customer pays by card, and the money goes to your bank account, not ours.
Card payments run through Stripe. Card numbers never touch your phone or our servers.
What does taking cards cost me?
Stripe's normal rate, about 2.9% plus 30 cents a payment. Tailgate Books takes nothing on top.
The fee comes off automatically and lands in your books as an expense, so it is on your taxes where it belongs.
Do I need my own Stripe account?
You set it up from inside the app in a few minutes, on Stripe's own page. Stripe asks for the things any payment company asks for, like your name, a phone number and where to send the money.
Cards are optional. Cash, checks, Venmo and Zelle are recorded in your books either way.
Does my customer need an app or an account?
No. They get a link by text or email. It opens in their phone's browser. They read the estimate, approve it, sign it and pay, in their language. No download, no login.
I sell jobs at the customer's kitchen table. Is that covered?
Flip the switch for an in-home sale and the app puts the three-day cancellation notice next to the signature, in the customer's language, and holds the deposit Pay button until the cancellation window closes. When you have their email, your customer gets a copy of what they signed.
It is built to the rules for an in-home sale. It is not legal advice; if you have a question about your situation, ask a lawyer.
Your books and taxes
Should I still use a CPA?
Yes. A good CPA is worth every dollar, and Tailgate Books is built to make that visit shorter, cheaper and more profitable for you.
The deductions most solo operators lose are not complicated. They are the receipt that faded in the truck door, the supply run paid on a personal card, the miles to an estimate that never got written down. The app catches those the day they happen: snap the receipt, log the trip, and it is in your books with the proof attached.
At tax time, one tap downloads your whole year in one file to hand your CPA, and they can open it without ever hearing of us: income, expenses with every receipt, mileage, sales tax and the items you flagged to ask about. They do the taxes. You stop paying them to sort a shoebox. Nothing in the app is tax advice.
How do receipts work?
Snap a photo. The app reads the vendor, the total, the date and the category, and you check it. Or forward an emailed receipt to your own receipt address and it files itself.
Does it track mileage?
Yes. Log the trip when you drive it, which is the kind of record the IRS asks for, and it stamps the mileage rate for that day, so old trips keep their own number when the rate changes.
Why doesn't it pull from my bank account?
Because most solo operators don't run every expense through one business account. The paint gets bought on the personal card. The part gets paid in cash. A bank feed misses those, and it mixes in the groceries.
And a bank line only proves you paid. It says "HOME DEPOT $214.37", not what you bought. The IRS says your records should show who you paid, how much, when, and what the purchase was for. The receipt shows what you bought, and that is the part a bank statement can't. So Tailgate Books starts with the receipt, whatever account paid for it. Keep your card and bank statements too; with the receipt, they make the strongest record.
Does it handle sales tax?
If you collect sales tax, the app adds it to your estimates and invoices and tells you, to the dollar, how much of the money in your account is sales tax you are holding for the state. Whether you have to collect it is a question for your accountant.
Your data
Is my data safe?
Your customer list, your prices and photos from inside people's homes. Here is how they are guarded:
- One account can never see another's books. Every contractor's data is walled off at the database itself, not just hidden on the screen.
- Everything is encrypted on the way and where it is stored.
- Two-factor sign-in is one switch in Settings.
- Card numbers never touch your phone or our servers.
- Photo and receipt links are signed and expire, so an old link is a dead link.
Do you sell my data or show ads?
No and no. You are the customer here, not the product.
Do you use AI on my data?
In one place: reading receipts. The receipt image is sent to the AI to pull out the vendor, total, date and category, with nothing that identifies you or your business. Estimates are built on your phone with no AI.
When you talk an estimate out loud, your phone or browser turns the speech into text. We receive the text, never the audio.
Can I get my data out?
Any time. One tap downloads everything: spreadsheets, a full-history PDF, and every receipt and job photo. Or have the spreadsheets and PDF emailed to you. You are never locked in.
What happens to my books if I leave?
Your account turns read-only. Nothing is deleted then, and you can still view and download everything. We email you well before anything is deleted, on the schedule in the subscription summary.
You can also delete your account yourself, any time, in Settings, and it is gone.
Where do you keep my data, and who else handles it?
Your books are stored in the United States. The short list of companies that help run the app, and what each one does, is on the subprocessors page.
